Your registration will be processed in order of receipt. It is not valid until an official confirmation letter and invoice are sent by the ASTP headquarters.

All payments must be made in euros and free from all bank and other charges. Online credit card payments will be handled by Stripe and do not incur any charges. Payments must be received before the event. Your participation is only guaranteed after receipt of the registration fee by ASTP.

Registrations made one week or less before the event can only be handled by our online credit card payment service. In case credit card payment is not possible, a proof of payment by bank wire shall be sent to the ASTP secretariat at least 2 days prior to the event.

Additional administrative fees are fixed for overdue payments:

• An administrative fee of €25 per participant will be due in case payment is not received by ASTP within two months from invoice date.
• An additional administrative fee of €35 per participant will be due if payment is still not received by ASTP within three months from invoice date.
• Payments that are more than three months overdue will be handed over to a debt collecting agency. All extra costs involved will be credited to the debtor.

Cancelling and refunding your registration fee is possible up to 3 weeks before the actual event takes place. An administration fee of €95 will be charged in case of cancellation. Please note that refunds are no longer possible after this date. In case you are unable to attend an event you signed up for, a substitute delegate is welcome to take your place at no extra charge. Please write to our Events Manager Anuar Shafiei if you need to make a substitution.

Should ASTP be required to cancel an event, for reasons of public health or on other grounds, participants will be credited for the equivalent amount of the participation fee for any future ASTP event within one year. Personal expenses in terms of, for example, travel and/or hotel bookings are not refundable by ASTP.
ASTP shall not be liable for damages in relation to the cancellation or postponement of events due to causes that are beyond its reasonable control, including (but not limited to) acts of war, acts of terrorism, fire, floods, strikes, delays in transportation.

ASTP cannot accept any liability in relation to personal injury or loss of and/or damage to personal belongings of event participants, either during or as a result of the event. These should be covered by your travel or similar insurances.
